Question: Now that I have a shorter domain name, I would like to change my primary email, but still have the other email linked to the new one so people pick up the new one over time. The long domain name is hard to spell out for people when they ask. How do I go about setting up the new address?

You can set up all your domain names and email addresses to use the same email box.

You do this by setting up:

  1. DNS records
  2. Domain mail aliases
  3. Mailbox aliases

Set DNS Records to Point to the Same Place

First you need to point your domains mail records to where your mail is hosted.

  1. Go to the control panel where you manage your DNS. This will be with your domain registrar, webhosting company or a DNS service provider. Set up all your domains mail records to be the same as your main domain where you receive mail. Your DNS may already be set up this way. Open the DNS records for your main domain and open the DNS records for the domain you want to be an alias. There are two record types to check.
  2. Check the CNAME records for anything mail related like mail, pop or smtp. Set up your new domain like your main domain.
  3. Check the MX records. Set these like your main domain.

Now the DNS for all your domains is pointing to your mail service provider. On your mail service provider, you will be able to use any of the domains as your main domain and any others as your alias.

Note: if you know which domain is always going to be your main domain and which are your aliases, you can set up your DNS so that the domains you are using for your alias point to your main domain and your main domain points to the service provider. That way, if you change service providers, you only have to change your main domain. How to do that is the subject for another article.

Set Up Mail Domain Aliases

Go to the control panel for your mail service provider. This could be your registrar, webhosting company or an email service.

Look for a place where you can set up mail domain aliases. Create aliases for your domains to point to your main domain.

You should now be able to use the first part of your email address with any of your domain names. For example, info@domain-name-1.com, info@domain-name-2.com, info@domain-name-3.com should all go to the same place.

Set Up Your Email Address Aliases

You can use aliases for the first part of your email address as well. For example, you can set up aliases so support@ uses the same mailbox as info@.

To set up an alias, go to your email administration control panel and look for a place to add an alias to a mailbox.

Note that an alias uses the same mailbox and is different than forwarding.
